AI in Project Management

The next generation of AI-enabled project managers isn't looking for a smarter spreadsheet

AI project management software that just adds a chatbot to the same old data entry misses the point. The next generation of AI-enabled project and program managers wants tools that remove the admin, not tools that ask them to type more into it.

Key takeaway

An AI-enabled PM tool should be judged by how much typing it removes, not by how many new fields it gives you to fill in.

A lot of software calling itself "AI-enabled" right now just means a chat box bolted onto the same old form-filling: the fields are still there, the manual entry is still there, and now there's also a chatbot you can ask questions about the data you still have to type in yourself. That's not what the next generation of AI-enabled project and program managers is actually asking for. They're not looking for a smarter way to add more data into the tool. They're looking for a tool that needs less of their data entry in the first place, so their time goes to actually running the project, not maintaining a record of it.

That distinction is the whole difference between AI as a feature bolted onto old software, and AI as the reason the software needed rebuilding.

Entering data was never the job

Ask a PM or a program manager what they were hired to do, and none of them say "maintain a spreadsheet" or "keep a slide deck updated." The job is scope decisions, risk calls, keeping a sponsor's trust, unblocking a team. Data entry, retyping the same milestone into three different documents, reformatting a status deck, chasing three people for an update just to fill in a cell, was always overhead the job picked up because the tools available made it unavoidable, not because it was ever the actual work.

A genuinely AI-enabled tool for project and program managers starts from that overhead being the problem to remove, not a workflow to make marginally faster with autocomplete.

What "AI-enabled" should actually mean for a PM or PgM

Concretely, that means the AI does the typing, not the person running the project. Describe a project in a couple of sentences, or hand over a document that already exists, a proposal, a brief, a deck, an Excel file with its own column names, and a first pass at scope, milestones, risks and dependencies should already exist, ready to review rather than build from a blank page. Say a task, a risk or an update out loud instead of typing it into the right field by hand. Let reminders chase an overdue task automatically instead of the PM doing it by DM. Get a daily rollup of what actually moved, and a weekly digest across everything a program manager is accountable for, instead of reconstructing that picture by opening every project one at a time.

None of that is about the AI making decisions for the PM or PgM. Every draft is still reviewed and edited by the person who actually understands the project before anything is saved. The AI's job is narrower and more useful than that: remove the blank page and the retyping, leave every real judgment call with the human who has to answer for it.

Leading with purpose instead of babysitting a file

The actual payoff of an AI-enabled project management tool isn't the AI itself, it's what a PM or program manager gets to spend their freed-up time on instead: the stakeholder conversation that needed to happen this week, the risk that needed an actual decision instead of just a status color, the team member who needed to hear from a person, not read a notification. That's leading with purpose. Retyping the same scope statement into a spreadsheet, a deck, and a status email is not leadership, it's clerical work that AI-enabled tooling should be absorbing, not asking a PM to do a version of it with extra steps.

That's the bar the next generation of AI-enabled project and program managers is actually holding software to: not "does it have AI," but "does it give me back the hours I used to spend entering data, so I can spend them running the project instead."
